Who we are

VakogAI ("we", "us") is an IT consulting business. We are the data controller for personal data processed through this website. For any privacy question or to exercise your rights, contact office@vakogai.com.

What we collect and why

• Contact & enquiry data — name, email, optional company, and your message, when you use the contact form or email us. Lawful basis: steps taken at your request prior to a contract, and our legitimate interest in responding to enquiries.
• Estimator inputs — the answers you give the cost estimator, plus your email address, which we use to send you the generated estimate (and, if you ask, to discuss it). Lawful basis: steps taken at your request and our legitimate interest.
• Booking data — if you book a call, the details you give our scheduling provider. Lawful basis: steps prior to a contract.
• Technical & security data — limited request metadata (e.g. a hashed IP for rate-limiting and abuse prevention). Lawful basis: our legitimate interest in keeping the site secure and available.
• Analytics — privacy-friendly, cookieless usage measurement. See our Cookie Policy.

Service providers (processors)

We keep our stack small and disclose every processor that may handle your data:

• Cloudflare, Inc. — hosting (Cloudflare Workers), CDN, WAF, the Turnstile anti-abuse check, and cookieless Web Analytics.
• Amazon Web Services (AWS SES) — outbound transactional email, processed in the eu-central-1 (Frankfurt) region.
• Migadu — our inbound mailbox provider (Switzerland), which receives email you send us.
• Cal.com — scheduling, if you book a call.
• Anthropic — used to generate a plain-language narration of your cost estimate. We send the estimator inputs and result, not your identity.
• Microsoft Clarity (Microsoft Ireland) — optional behavioural analytics (heatmaps and session replay) to improve the site. It sets cookies, so it loads only if you accept optional cookies in the banner; see the Cookie Policy.

Some providers are based outside the EEA. Where that is the case, transfers rely on appropriate safeguards such as the EU Standard Contractual Clauses.

How we use AI

We use AI tools (including large language models) in delivering our services and to narrate cost estimates on this site. AI output is always reviewed by a person before it informs a decision, and we do not use your personal data to train third-party models.

Retention

• Enquiry emails: kept while we are in contact and for a reasonable follow-up period, then deleted.
• Estimator inputs and the emailed estimate: kept while we are in contact and for a reasonable follow-up period, then deleted.
• Security/rate-limit data: short-lived (typically minutes to hours).

Your rights

Under the GDPR you can request access, correction, deletion, restriction, or portability of your data, and object to processing based on legitimate interests. Email office@vakogai.com and we will respond within the legal timeframe. You also have the right to complain to your local supervisory authority (in Poland, the UODO).

Changes

We may update this policy as the site and our processors evolve. Material changes will be reflected in the "last updated" date above.
